Job titles and roles
How Flow turns the job titles on your roster into a description of what each job does, where to read those descriptions, and how to correct them.
Know Your AI words its questions from what a person’s job actually is. A job title on its own is often not enough to do that. “Specialist”, “Consultant” and “Associate” mean different work at different companies, so Flow keeps a description behind each title and words the questions from that instead.
In this guide:
- Where the descriptions come from
- Reading the roles at your company
- Correcting a role
- Adding your own tasks
- What a title waiting on Velory means
- What is shared and what is yours
Where the descriptions come from
Flow reads the job titles on your roster. It reads them when you save somebody’s job title on People, and again after each sync with your HR system. See connecting your HR system.
Each title is matched to a role in a shared list Velory keeps. A clear title is matched straight away. A title that could mean several things is sent to Velory to look at, and you do not have to do anything about it.
Reading the roles at your company
Open People and press Roles, at the right end of the filter row.
On the left is a table of every job title on your roster, with how many people hold it and whether anyone has checked it. Pick a title there and it opens in the panel on the right, which shows:
- What this job does. The description the questions are worded from.
- Tools. The software this job typically works in.
- AI risk. Where AI use in this job could go wrong.
- Common tasks. What people in this job usually do. The list is there so Know Your AI can ask about work people recognise from their own week. Velory writes it from published job descriptions.
The table shows the first seven titles. Press Show all for the rest.
The address in your browser names the title you have open, so you can send a colleague a link straight to one role.
Correcting a role
Any of the three fields can be wrong for your company. Change the text in the panel on the right and press Save.
Tick This is right for us when the description matches the work. The role then shows as verified with the date, so you can see at a glance which ones somebody has read.
Clearing a field puts the shared description back.
Adding your own tasks
The common tasks come from Velory and you cannot change them, but you can add to them. Write your own tasks under Your own tasks, one per line, and press Save. Your tasks are added after the common ones for everyone with that job title. You can add up to 12. If you add more, Flow does not save and keeps your text in the box so you can cut it down.
To remove a task you added, delete its line and save.
What a title waiting on Velory means
A title marked Waiting on Velory has not been matched to a role yet. Until it is, Know Your AI words its questions from the job title itself, which is what it did before. Nothing is blocked and nobody is stopped from answering.
What is shared and what is yours
The role list is shared across companies, so a role Velory writes once is reused everywhere. Your corrections and the tasks you add are not shared. They sit on your company’s own record of that title, and no other company sees them.
Only job titles are used for this. No name, no email address and nothing else about a person goes into it. When Velory writes a new role, it may read your company’s own public website for what the job involves. See what happens to your data.
